Conference Room AV Setup for Enterprises: A Practical Guide

A conference room AV setup in India succeeds or fails on details most people never see: where the microphones sit, how the room is cabled, and whether the platform matches how your teams actually meet. Before you shortlist a single product, walk the space. Ceiling height, glass walls, HVAC noise and the distance from the farthest seat to the display all change what will work.

Start with room size, not the brand catalogue

Huddle rooms seating four to six people need very little: a single all-in-one bar with an integrated camera and speakers, one 55-inch display, and a table-top connection point. Expect ₹1.5–3 lakh per room.

Mid-size rooms of eight to fourteen seats need a separate camera with auto-framing, ceiling or table microphones, and a dedicated touch controller. Budget ₹4–9 lakh.

Boardrooms and townhall spaces are a different exercise entirely — dual displays, ceiling microphone arrays, DSP-based audio processing, and often a video wall or laser projector. These start around ₹15 lakh and rise with the room.

Audio is where a conference room AV setup usually breaks

Poor video is tolerable. Poor audio ends the meeting. In rooms with glass partitions and hard flooring, reverberation makes remote participants strain to follow. A properly tuned DSP, correct microphone placement and some acoustic treatment fix more complaints than any camera upgrade will.

Standardise across sites, then plan the network

Multi-site enterprises save the most by choosing one platform — Teams Rooms or Zoom Rooms — and one certified hardware family across every location. Support becomes predictable, spares are interchangeable, and new offices commission in days rather than weeks.

Then get the network right. Each room needs its own VLAN, PoE+ switching, QoS for real-time traffic and roughly 4–6 Mbps of headroom per active call. Retrofitting cabling after the furniture arrives is the most common and most expensive mistake we see.

Allow four to six weeks from design sign-off to a commissioned room, longer if civil work is involved. Insist on a proper handover: acoustic tuning, camera presets, control-panel training and a documented support path.
